Data Protection and Privacy Policy: East Lammermuir Warm Homes Project

Lothian Heat CIC is registered with the Information Commissioner’s Office (ICO), registration number ZC151366. We are committed to protecting your personal data. This document explains what personal data we collect for the purposes of the Warm Homes Project when you register your interest, and what we do with it.
Under data protection legislation, Lothian Heat CIC are a “controller” of the personal data you share with us. A full privacy notice covering all our data processing activities is available on request at info@lothianheat.org.
Your rights
You have the right to:
- request access to your personal data
- request correction of inaccurate information
- request deletion of your data
- withdraw consent where applicable
- complain to the Information Commissioner’s Office (ICO)

| What we do with it | |

| Project delivery | We will use your contact details to communicate with you regarding your participation in the Warm Homes Project, including arranging surveys, providing survey findings, sharing relevant advice and support, and updating you on project activities that may affect you.
If you would like to receive broader updates, newsletters or information about other Lothian Heat activities, we will ask for your consent separately. |
| Planning and development | We will use your data to plan and progress the Warm Homes Project and to help develop a model for delivering rural off-gas heating solutions, energy efficiency and retrofit at scale, and to explore whether shared solutions such as heat networks are viable. |
| Third-party sharing | Personal data may be shared with project stakeholders and partner organisations for the purposes of developing and delivering the Warm Homes Project. This may include: Home Energy Scotland; East Lammermuir Community Council; East Lothian Council; academic research partners; project funders; and specialist consultants or contractors supporting delivery of the project.
We will only share data that is necessary for the purpose, and ensure that it is handled securely. We will ensure that appropriate agreements are in place with all data processors. |

| Where it is held | Microsoft OneDrive. Microsoft’s servers are based in Europe with appropriate GDPR safeguards. The data will be stored securely on the Lothian Heat CIC OneDrive. |
| How long we keep it | We will retain personal data only for as long as necessary to deliver and evaluate the Warm Homes Project and comply with legal or funding requirements. We will normally review and delete project data within 2 years of project completion unless there is a continuing lawful reason to retain it. |
